Facilities Systems Manager 
Location : Cambridge
Contract : 6-Month Fixed-Term Contract
Salary : £55,000
 Role Purpose
The Systems & CAFM Development Manager is responsible for leading the strategic development, optimisation and day-to-day performance of the organisation’s Computer-Aided Facilities Management (CAFM) systems and associated digital platforms. The postholder will ensure systems are reliable, user-focused, integrated with wider business tools, and capable of supporting effective operational planning, statutory compliance, performance reporting and service delivery.
This role combines technical systems expertise with strong stakeholder engagement, project management and data governance. The postholder will champion digital innovation within the Facilities/Estates function and drive continuous improvement across all FM systems and processes.

 
 Key Responsibilities 
1. Systems Management & Development 

    •  Lead the configuration, development and ongoing optimisation of the CAFM system to support service delivery, compliance and performance management.


    •  Manage system upgrades, patches, integrations and testing to minimise disruption and ensure reliability.


    •  Work closely with FM teams to identify system improvements, workflow enhancements and automation opportunities.


    •  Maintain system documentation, configuration records and change logs.



     
 
2. Data Quality, Reporting & Analytics 

    •  Develop dashboards, reporting tools and KPIs to provide clear visibility of performance, resource planning and statutory compliance.


    •  Ensure data accuracy, governance and consistency across all CAFM modules.


    •  Provide data insights to support strategic planning, budgeting and operational decision-making.



     
 
3. Stakeholder Engagement & User Support 

    •  Serve as the primary point of contact for CAFM-related queries, enhancements and technical issues.


    •  Deliver user training, guidance and resources to ensure consistent use and adoption of systems.


    •  Collaborate with IT, contractors, system vendors and in-house teams to resolve issues and implement improvements.



     
 
4. Project Management & Digital Transformation 

    •  Lead and manage digital FM projects such as new module implementation, integration with IoT solutions, PPM optimisation or mobile workforce deployment.


    •  Support wider estates digital transformation initiatives to streamline workflows and improve service efficiency.


    •  Evaluate emerging FM technologies and recommend opportunities for innovation.



     
 
5. Compliance & Performance 

    •  Ensure the CAFM system supports statutory and regulatory compliance, including audit trails and reporting.


    •  Monitor system security, access permissions and adherence to data protection standards.


    •  Produce performance reports for internal governance, external audits and senior leadership.



     
 
 Skills, Experience & Qualifications 
Essential 

    •  Proven experience managing or developing CAFM systems (e.g., Planon, Concerto, Concept Evolution, Archibus, QFM, MRI, etc.).


    •  Strong understanding of FM operations, compliance requirements and digital workflow design.


    •  Excellent analytical, reporting and data management skills.


    •  Ability to manage multiple projects and work flexibly with changing priorities.


    •  Strong communication and stakeholder engagement skills.


    •  Experience training and supporting system users at all levels.



     
 
Desirable 

    •  Relevant degree or professional qualification in Facilities Management, IT Systems, Data Management or related field.


    •  Experience with API integrations, SQL, Power BI, or similar tools.


    •  Project management qualification (e.g., PRINCE2, Agile).


    •  Experience in a complex organisation (public sector, healthcare, education, corporate estate, etc.).



     
 
 Working Arrangements 
    • 37.5 hours per week with flexible working arrangements (start/finish times negotiable).
